VFU Board of Directors Job Description Summary

These responsibilities are taken from the club by-laws or in some other way have gravitated toward these positions. As we expand the board, the intent is to distribute these tasks over a broader number of positions, so each one is less time consuming.

President (Formerly League Commissioner)

Preside and act as Chairperson at board meetings

Review and approve board meeting minutes for distribution to league

Sign contracts

Represent club for allocations of community field space

Solicit community organizations for funding, assistance, and cooperation

Coordinate activities among staff and other Board members

Communicate with the community regarding the club programs

Represent the club at RDYSL and NYSWYSA meetings

Serve as a point of contact for RDYSL and NYSWYSA and distribute correspondence received from both organizations

 

Non-Voting Administrator

Is hired and salaried by the Board of Directors

Attends and keeps minutes of all Board Meetings

Attends upon negotiated request all general club meetings and keeps minutes

Transcripts and distributes minutes one week prior to each Board Meeting

Posts approved minutes on the website

Coordinates all notices to coaches and players

Distributes letters to coaches, players and parents

Maintains the clubs contact list

Serves as co-webmaster

Coordinate uniform and equipment supply orders for the travel program

Assist with uniform and supply orders for the recreation program

Submit requests of school gym time with the appropriate school officers – follow-up on allocation, and communicate results

Submit requests of Town Field use time with appropriate Town officers -  follow-up on allocation, and communicate results

  

Director of Communications

Maintain and keep current the club’s Bylaws

Incorporate changes in RDYSL rules into the club’s Rules and Regulation Document

Maintain and update the club’s Rules and Regulation Document from meeting minutes

Maintain book of records

Maintain the club annual calendar

Serve as co-webmaster

Facilitate any and all communication with any entity as requested by the Board of Directors

 

Director of Finance/Treasurer

Keep full and accurate accounts of receipts and disbursements

Deposit all moneys, evidences of indebtedness, and other valuable documents into

banks or depositories

Make books and accounts available to any members of the board

Track payments against the budget

Pay invoices

Arrange for an annual independent audit of the financial records

Facilitate creation of program budgets at the beginning of each program year

 

Director of Boys’ Competitive Programs

Determine availability and interest of players

Recruit new coaches

Coordinate all activities among coaches of boys Select and Travel teams

Coordinate all league-required player documentation and payments

Submit annual budget for competitive programs

Organize try-outs for competitive programs

Approve coaches’ team assignment and roster decisions

Review coaches’ performance and provide feedback

In conjunction with Directors of Player Coaching and Development, advertise and

secure attendance at player and coaching clinics secured specifically for our club

 

Director of Girls’ Competitive Programs

Determine availability and interest of players

Recruit new coaches and ensure coverage of existing teams

Coordinate all activities among coaches of boys Select and Travel teams

Coordinate all league-required player documentation and payments

Submit annual budget for competitive programs

Organize try-outs for competitive programs

Approve coaches’ team assignment and roster decisions

Review coaches’ performance and provide feedback

In conjunction with Directors of Player Coaching and Development, advertise and

secure attendance at player and coaching clinics secured specifically for our club

 

Director of Recreation Programs

Determine availability and interest of players

Recruit new coaches and referees

Coordinate all activities among coaches of recreation teams

Submit annual budget for recreation programs

Coordinate special activities, such as Rhinos’ Night and Pictures

Facilitate recreation player registration process

Oversee team selection process

Develop schedule of recreation games

Represent club at NYSWYSA recreation program meetings

Order uniforms for the recreation programs

 

Registrar

Enter all player and coach data into the club database and NYSWYSA databases

Audit enrollment forms against payments

Ensure proof of birth is obtained for all travel players

Submit payments to club Director of Finance

Track player interest in competitive programs

Track parent interest in assisting in the programs

Facilitate travel registration process

Maintain forms used in registration, updating as necessary

Provide packages to RDYSL registrar required for creation of player passes

Ensure all persons associated with our programs have properly completed the

Risk Management process

Obtain Insurance Certificates as needed from NYSWYSA

 

Director of Player and Coaching Development

Attend coaches’ meetings to determine coaching and player development needs

Research solutions to coaching and player development

Attend meetings of NYSWYSA related to development

Maintain contacts with area clinics, camps, trainers, etc.

Coordinate annual summer soccer camp sponsored by the club

Arrange training and clinics for the development of players and coaches

Communicate program availability to coaches

Submit annual budget for developmental programs

Obtain training time at turf-based indoor facilities for the club

In conjunction with Directors of Competitive Programs, advertise and secure

attendance at player and coaching clinics secured specifically for our club

 

Director of Operations

Direct Manager of Supplies and Manager of Fields

Manager of League rented storage facility

Maintain inventory levels of coaching, referee, first aid, and field supplies for travel and recreation programs

Facilitate ordering of new supplies and equipment such as goals, nets, and

other major field related items for travel and recreation programs

Works with non-voting administrator on uniform and supply orders for the travel and recreation programs

Responsible for or organizing others in preparing equipment and distribution of Rec. League equipment at the beginning of their spring season, as well as, installing goals and nets as necessary at fields the club uses.  Then responsible for or organizing others to bring Rec. League equipment back in to storage at the end of their fall season and removing goals and nets as necessary from fields the club uses. 

Ensure maintenance of league run fields

Maintain document describing the inventory of outdoor fields available

Maintain maps of field locations and driving directions to the fields

Plan and allocate, or work with other Board members to plan and allocate field space to travel teams – including indoor gym time, indoor turf time, outdoor practice time

Plan and allocate, or work with other Board members to plan and the allocation of school gym time with the appropriate school officers – submit request, follow-up on allocation, and communicate results

Work with RDYSL in organizing the club’s travel league game schedule, allocating fields for such and resolving conflicts. 

Communicate with owners of fields utilized by the club and ensure issues that arise are addressed

 

Director of Coaching

Work with coordinators to organize try-outs for competitive programs

Organize and run various clinics for coaches and players throughout the year

Attend VFU Board Meetings

Work with RDYSL (as needed) to understand rule changes

Attend or run a practice for each VFU travel team

Provide feedback to the board regarding coaching issues

Assist with new coach selection and approval

Facilitate setting up of coaching license courses for the VFU coaching contingent
